CUSTOM AI & AUTOMATION

Vacation Rental Automation

Managing vacation rentals means coordinating different homes, arrival details, cleaners, and owners. I build automation for vacation rental operators and property managers who need consistent follow-through while keeping each property’s information separate and accurate.

What we can build for your operation

Send the right instructions for each property

Create property-specific information for arrival directions, check-in, house rules, Wi-Fi, and checkout. Scheduled communication can use reservation events where your systems support them. Sensitive access details should only be shared through an agreed process with the appropriate guest.

Coordinate turnovers and maintenance

Connect a checkout event to the turnover process: assign the job, request confirmation, and flag delays to the manager. Maintenance requests can carry the property and issue details into a shared task view. The workflow needs to handle date changes and cancellations so teams do not act on an outdated schedule.

Make owner reporting easier to maintain

Bring the operational records you already hold into a shared dashboard or reporting workflow. Depending on source data and access, this can include open maintenance, reservation status, and payment records. We define the source for each field and flag missing information rather than presenting an incomplete record as final.

EXAMPLE WORKFLOW

How this could work in practice

A reservation’s checkout date changes. Where the booking system exposes that event, the workflow updates the turnover task and notifies the assigned cleaner. If the cleaner cannot cover the new date, the manager receives an exception to resolve. Property readiness stays with the team until completion is confirmed.

What we review before building

The first step is a discovery call to map your current process. I then propose a defined scope, price, and timeline. We test the workflow, agree on staff handoffs, and plan monitoring and support before launch.

Questions about vacation rental automation

Can each rental have its own guest information?

Yes. The workflow should identify the property before using its approved instructions. We organize property knowledge separately and define what happens when a detail is missing or a guest’s reservation cannot be matched.

Can you connect Airbnb or other booking channels?

Connections depend on the access available through your property management software, channel manager, or an approved integration. I review that access first; direct access to any particular booking platform is not assumed.

Can we start with a small property portfolio?

Yes. A focused rollout can cover one repeat process across a small set of properties. Testing property details, schedule changes, and staff handoffs before expanding helps keep the workflow manageable.

Start with one repeat task.

Bring the tools you use and a workflow you want to improve. We’ll work out a practical first step for your property.
